Sometimes life doesn’t work out as planned. We have provided helpful information on this page to assist you if your find yourself under academic probation or have a failed standing.

We are here to support our students and have a number of resources and people to assist you throughout your degree.

ACADEMIC STANDING

There are three levels of academic standing: In Good Standing, On Academic Probation, or Failed. Academic Standing is outlined in the Academic Calendar:

General Questions

All Winter session grades are used to calculate your sessional cumulative average. This average determines your standing. Courses taken in the Summer sessions are not included in the calculation.

No, you will retain credit for courses passed in a failed year.

Requesting Permission to Continue Without Delay

Yes, you can appeal the Failed standing in order to continue without taking a break. Deadlines will vary depending on the term, please contact us at FCCSstudents.ok@ubc.ca.

The Faculty will want to know how you plan to be academically successful if permitted to continue. Your appeal letter should include information, such as:

  • any extenuating circumstances that contributed to your failed standing;
  • why you believe you will be successful if permitted to continue and a detailed plan outlining how you will achieve your academic goals;
  • the types of supports/resources you have accessed or tools/strategies you have applied to ensure a successful return;
  • supporting documentation (i.e. medical records, letters, screenshots, etc.);
  • and any other relevant information, including any special or changed circumstances, in support of your appeal and request to continue.

Yes, the notation will read, “Failed Year. Permitted to Continue.”

You have the option of filing a Senate Appeal on Academic Standing.  The Ombuds Office can help  explain the process and explore your options.

Yes, the notation will read, “Failed Year. Required to Discontinue from Faculty.”

Application for Readmission when taking a year away

No, you must apply for readmission by:

  • completing an Application for Readmission through the Student Service Centre (under Admissions). Payment of a non-refundable application fee is required.
  • completing a readmission form and submitting a letter of appeal to support your Application for Readmission. After applying, the Admissions department will email you instructions on how to do so. Your appeal documents will then be sent to your Faculty for consideration. Deadlines can vary by Faculty; students are strongly advised to confirm deadlines with an Academic and Career Advisor.

The Faculty will want to know how you plan to be academically successful if readmitted. Your appeal letter should include information, such as:

  • any extenuating circumstances that contributed to your Failed standing and your reflections about your failed year;
  • what you did during your year away from UBC;
  • why you believe you will be successful upon return and a detailed plan outlining how you will achieve your academic goals;
  • the types of supports/resources you have accessed or tools/strategies you have applied to ensure a successful return;
  • supporting documentation (i.e. medical records, letters, screenshots, etc.);
  • and any other relevant information, including any special or changed circumstances, in support of your appeal and request to continue.

Faculty will review appeals submitted by the deadline, and have decisions back to students by mid May.

A student who receives a second Failed standing will be required to withdraw from the University. After a period of at least 12 months, an appeal for permission to re-enroll will be considered.

What can I do during my year out?

Students in a Failed standing who are seeking admission to a different UBCO degree program are advised that all University and program-specific admission and advancement criteria will apply. However, applications for a Change of Degree Program will be reviewed on a case-by-case basis and students are encouraged to contact Enrolment Services (admissions.ok@ubc.ca) for additional information. Please see the Advancement Regulations and Readmission policies for more.

This varies by Faculty. Students are strongly advised to consult with an Academic and Career Advisor prior to taking courses at other institutions because the credits may not transfer back to your UBC degree.

No, Letters of Permission are generally reserved for students who are eligible to continue their studies. Please see the Letter of Permission to Study at Another Institution policy.

Information for International Students

Yes, this may have an impact on your study permit and your ability to remain in the country. Please contact the Global Engagement Office with questions about immigration regulations and study permit requirements for study permit holders.

Yes, this may have an impact on your Residence Contract. Please contact Student Residence for more information and to discuss your options. To remain eligible to reside in student housing you must meet certain academic criteria. Consult your Residence Contract for more information.

Yes, a Failed standing may impact your funding. If you were awarded a UBC scholarship or bursary, contact awards.inquiry.ubco@ubc.ca . If your award is external to UBC, contact your scholarship provider to find out more about the terms and conditions you are required to meet.

Information for Domestic Students

If you live on-campus, a Failed standing may have an impact on you. Please contact Student Residence. To remain eligible to reside in student housing you must meet certain academic criteria. Consult your Residence Contract for more information.

Yes, it may. Depending on your circumstances, consider contacting applicable offices to determine whether a Failed standing affects your eligibility for loans and/or funding.
